Minutes of the Regular Meeting of Council <br />Monday, November 21, 2011 <br />Page 8 <br />Motion to authorize retention of Cintas Corporation for off-site storage. -- Mrs. Mills, seconded by Mr. Saponaro, made a motion to authorize retention of Cintas <br />Corporation for off-site storage. <br />Council President Buckholtz asked, this is what Mrs. Mills was just speaking about? <br />Mr. Saponaro replied, yes. Mary Beth, if you wouldn't mind talking about, there's not a price in <br />here, but I have asked Mary Beth to speak at this meeting to just give us some information <br />regarding that. <br />Mrs. Betsa replied, the price is based upon the amount of boxes that we have and tlie amount of <br />work that Cintas has to do. A lot of the work is going to be done here in-house by staff here as <br />far as reviewing, preparing, labeling, boxing and inventorying. Cintas will come in and take the <br />documents for storage. We will be doing most of the work this month. <br />Mrs. Mills stated, we received in our packet a schedule of the charges that would be <br />forthcoming. Since they are governed by State regulations, then they have to comply with that. <br />Council President Buckholtz asked, do we have a sense of what the cost is on this? <br />Mrs. Mills replied, no because we have to see what we have. <br />Mr. Saponaro stated, they have to continue going through the boxes to see what is actually going <br />to be stored. That's a project that is taking place on this end before it goes to off-site storage. <br />Mary Beth, we are about 50% completed with that project? <br />Mrs. Betsa replied, Village Hall is done. We have to complete review of boxes at the Service <br />Department. Council President Buckholtz was thinking over $25,000 or under $25,000 in terms of how we <br />vote on it. <br />Mr. Saponaro asked, do you have a sense of whether the expenditure is over $25,000? <br />Mrs. Betsa replied, it won't be over $25,000, Diane do you see it going over tliat? <br />Ms. Calta replied, no. <br />Dr. Parker stated, the other thing discussed in Finance in terms of cost is that as things become <br />more and xnore digital, we will have less need to store papers and things anyway over time. It's <br />going to go down in quantity as time goes on in terms of the accumulation.
