V <br />MEMORANDUM <br />To: Danielle Echt, Donna Roman, Debbie Garbo, Jeff Thomas, <br />Diane Wolgamuth, Terry Skomrock, Cheryl Garinger, Debbie Thomas, <br />Ted Esborn, Susan Jerome, Janice Reale, Maura McKinley, Kim Reilly, <br />Dave Perout <br />From: Mary Beth Betsa <br />Re: Until No Longer Administratively Necessary "LJNLAN" documents <br />Date: July 21, 2008 <br />The Records Schedule approved by the State Auditor and Ohio Historical Society <br />allows for the disposition of documents which fall under the "LJNLAN" Retention Period <br />category. Examples include the following: - <br />Bulletins, posters and notices to employees, training materials, unsolicited <br />mail, sales materials, voicemail messages, telephone messages, copies of <br />vouchers, flyers, event planning notes, audiotapes (when transcribed), <br />handouts, delivery, packing slips, audiovisual materials, blank forms, <br />work orders, meeting notes, court dockets, ticket ledgers, vacation house <br />check records, ride along forms and copies of minutes. <br />Pursuant to the requirements of House Bi119, all public records which are deemed <br />no longer administratively necessary must be listed on Form RC-3 for submittal to the <br />Historical Society. The documents may be disposed of after the fifteen day waiting <br />period has expired. (See, also, attached letter from Diane Calta.) <br />Please forward any documents in your department which fall under the <br />"LTNLAN" category to Administration for listing on the RC-3 form. After the form has <br />been submitted to the Historical Society and the waiting period has expired, a copy of the <br />RC-3 form will be returned to you with the notation of when the documents were <br />disposed of. <br />If you have any questions, feel free to contact me.
