Janelle and Wilma agreed to work on set-up and decorations for the event. It was agreed that <br />Springvale will provide the food and beverages for the event and bill the Commission once the <br />final costs are settled, but James will look into getting a pastry platter from Polaris Pastry Arts. <br />JoAnn DePolo will be the first choice for displaying artwork at the event, but the NOHS Art <br />Department will be a back-up option- James or Lauren will contact JoAnn. James confirmed that <br />he will purchase a small PA system for Commission use, with the help of Laura and Bill Brake, <br />and will arrange for a reusable event banner to be printed and hung in the Clubhouse. <br />Next steps will be to finalize the Call for Performers, establish the application method and begin <br />publicizing the event immediately after Christmas. A full marketing push to performers and <br />potential guests will be made immediately after the New Year. <br />Earth Fair <br />Initial comments for the 2018 event included: more focus on eco-friendly crafts, clearly-defined <br />sponsorships offerings like an event brochure or sponsorship table, a greater focus on recycling, <br />more market-type vendors and featuring a new animal adoption business as a vendor. James <br />shared his proposed Earth Fair committee meeting dates and will send a Doodle poll to the full <br />group to confirm availability. Meetings will be held once a month January through April. <br />Commission member project/task assignments <br />It was agreed that Leah, Laura and Kim would be the project leads on the Springvale <br />Coffeehouse event. James and Jackie will be the leads for Earth Fair. The January meeting will <br />include more detailed discussions of the May and June events to confirm project leads and firm <br />up event details, dates, times, etc. <br />Set important calendar dates/Citywide mailer discussion <br />Commission members agreed that while a citywide mailer may be out of reach in early-2018, a <br />Spring rack card should be created to advertise events in February, March and April and should <br />be handed out or displayed at events. The card will need to be created, printed and distributed by <br />mid-January so that it can encompass all the events planned for the early. part of the year.
