Mr. Lang said page three gives him a little <br />trouble with 3.01, the positions of chairman and vice chairman. He read the rule which says the <br />commission shall vote for chairman and vice chairman and the position of secretary shall be occupied <br />by the member of Planning Commission selected to serve as a member of the commission. Mrs. Lord <br />said Mrs. O'Rourke, the previous secretary, only had to write something on occasion as the Assistant <br />Clerk of Commissions transcribes the tapes and acts as secretary to the commission. The board <br />members thanked Mrs. VanAuken, an original member of the Landmarks Commission, for her <br />invaluable service to the board and the city. Mrs. VanAuken said she may have some material to pass <br />on to Mr. Yager regarding the Rebecca's building. Mr. Yager said she can send information to the <br />Office of Commission and he will be sure to get it. Mrs. VanAuken was excused from the meeting. <br />Mr. Barker said that precedent has been set in the last few years that the Assistant Clerk of <br />Commissions types the minutes from the tapes. He suggested it be added to the rules of procedure. <br />Mrs. Lord suggested that they not name a person and indicate the Office of Commissions is responsible <br />for the minutes. Mr. Lang said at the end of the line that reads, "the positions of chairman and vice <br />chairinan shall be determined by a majority vote of the members of the commission," he would like to <br />add "at the annual meeting." They can always revise the rules of procedure when such time comes that <br />the Office of Commissions doesn't do the transcription. The only other change was in the area of <br />committees. He had a question about letter A. He does not have a problem with plaques or archives or <br />annual reports. He will add budget to annual report, so letter D will be annual report and budget <br />committee. On page four, 5.03, any communication from the commission shall be issued by the Clerk <br />of Commissions. He made a new paragraph, 5.04, which will set out a prescription for presentation to <br />the committee. Mrs. Lord said the materials they have received have varied through the years. They do <br />not always get what they need from an applicant. Mr. Yager suggested the application should require a <br />picture of the building. Mr. Lang agreed and said that he has often taken digital photos and handed <br />them out to members. Mr. Yager said the inspectors are out at these sites and have access to digital <br />cameras. Mr. Lang said it has to do with the budget. He said he has no other corrections to the rules so <br />he will drop it off to Mr. O'Malley to have it re-done. There was discussion about board members and <br />filling the vacancy on the commission while maintaining membership requirements. Mrs. Lord said <br />they need to thank Mrs. VanAuken in some special way. She said in the past they have done a Council <br />Proclamation. She said there was a suggestion that she would be a good candidate for Citizen of the <br />Year. Mr. Lang said she is an excellent candidate but he needs help in coming up with her background. <br />He said he spoke with Donna Smeal about the criteria for the application. He said three different areas <br />of community involvement are required. He said he knows Mrs. VanAuken is very active in her <br />church, in the city, and active with the League of Women Voters. Mrs. Lord said it isn't just what she is <br />doing right now, it goes back to her previous work. She was chairman of one of the bicentennial <br />coinmittees. Mr. Lang said he cannot think of anyone more deserving. They have to be very thorough <br />on the application. Mrs. Davis pointed out that Mrs. VanAuken has done a lot of this work while her <br />husband has had medical problems. Mrs. Lord said she wants to share that she was at a meeting and <br />learned at the historical society there is a person related to the Nelson family who lived on Lorain Road. <br />This person is interested in the Barton Road Church. This person is interested because of her family <br />and because one of the stained glass windows was donated by her family. She believes there was some <br />discussion at Frostville about the possibility of taking the church down there. She thinks discussion is <br />in the very early stages. Mr. Barker asked if they should invite the historical society to a meeting <br />regarding Rebecca's.
