terms of history. Mr. Barker suggested having a representative from the Law Department attend the next <br />meeting for more clarification. Mr. Lang said they can do that but what he'd like to do is try to find out <br />from Barb Seman whether or not this memo has in fact been presented to the media and see whether or <br />not the board needs to do anything on its own to pursue it further. And if that is the case, then possibly <br />are there a couple of people who would be willing to write up an ad to submit to Barb Seman for <br />introduction into the newspaper in preparation for the next meeting? If it hasn't been taken care of then <br />they can come and look over what we've prepared before we release it. Mrs. O'Rourke said she thinks <br />what Mrs. Seman has written is fine. <br />IV. CONIlVBTTEE REPORTS: <br />Mrs. Lord said they went through things that need to be done and they made the decision that they really <br />need to do a lot of leg work and that they will need everybody to help with that. It is not a three-person <br />job. They can share the kinds of things that need to be done first and ask who would be willing to help. <br />They did make the decision we are going to work on Butternut Ridge to get that piece finished and <br />updated. We need to contact people. Some of you live on Butternut Ridge and it makes sense for you to <br />contact people around you. We really need to be certain that that list includes all of the houses that we <br />want to recognize and that the information that we have is accurate. We can start with that, which is in <br />the brochure, but some of which is very inaccurate. We have the files here in Old Town Hall. If <br />someone is willing to do Butternut from CVS to Dover then the files in here are available. We really <br />need to go house by house, especially on Butternut because we have so many that are old enough to be <br />discussed. We may not have plaqued them but we need to get that information anyway, even if we <br />decide we're not going to be able to put every single one in a brochure. It seemed to them that given the <br />time of year, the first step is to do a file review and let people start making contact so we can gather all <br />that data together to figure out if it is fairly accurate or do they need to go further. Just because someone <br />lives there doesn't mean they know much about their property, but in some cases they've been told things <br />by a neighbor. We need to accurately document where information is coming froin. We'll get it and <br />determine if we have enough information to write up soinething that's valid about the house. They talked <br />about doing some visual surveys and decided we better wait until the weather is a little bit less lilcely to <br />cause difficulties. So, the first step seems to be getting those people who are willing to take a set number <br />of properties and start digging into them. She said that maybe we want to do this in teams. It may be <br />more fun and be a better check and balance. Mrs. VanAuken asked if there could be soine kind of card to <br />show people. She knows most people are quite willing to talk but some are rather suspicious of people, <br />and might think they are trying to get money or something. Mrs. Lord said everyone in the city has cards. <br />Mr. Dailey said he isn't sure whether boards or coinmissions have business cards. Mrs. Lord said when <br />they did the survey in 1985 they did have something from the city in case there was a problem. Mrs. <br />Davis asked if it would help at all to send a notice that the Commission may contact residents. Mrs. <br />VanAuken suggested putting a small notice in the WestLife. Mr. Dailey said that so few people receive <br />the WestLife. Mrs. VanAuken suggested contacting the news, perhaps Fox 8 News. Mrs. O'Rourke said <br />years ago when she started on the Planning Commission they were given City ID's. They went to the <br />Recreation Center and had photo identification cards made up. Mr. Lang said when he was working with <br />the S.I.T.E.S. students and they went out on private property, they were advised by Mr. Copeland to make <br />sure they did not trespass and that he would do everything in his power to make sure that if anybody were <br />to challenge them, people could contact hiin. A letter of introduction, a personal letter of introduction <br />addressed to each person to carry with them while they are on a particular assignment would probably be <br />better than anything else.
