Dependent upon the age and type of document, Civil <br />Service records.shall be stored in either locked file cases <br />or in appropriate containers for obsolete records. <br />2. With the exception of the current 24 month period, all <br />correspondence within the last ' years shall be stored <br />in a reference file case at City Hall. <br />a. Older documents shall be stored in the appropriate <br />archive:;containers with proper labeling. <br />3. Personnel records such as application forms, evaluation <br />forms, etc. the age of which exempts their use and/or value in <br />the current conduct of Civil Service matters shall be: <br />a. stored in sealed containers. <br />b. stored in locked files. <br />C. destroyed at a Civil Service Meeting by the <br />Commissioners with a proper notation in the minutes <br />recording such destruction. ' <br />4. Records of former employees shall be destroyed, <br />stored for a period, permenently stored <br />5. Records, including application forms, score sheets and <br />other personal data which pertain to unsuccessful test candidates <br />or those candidates not appointed during the active status of <br />an eligibility <br />B Active Files: <br />1. All application forms, score sheets and other pertinent <br />data of candidates whose ranked standings enable. them to.be con- <br />sidered for the current eligibility list: <br />a. data pertaining to those applicants who failed the <br />test for an active and current eligibility list shall: <br />1) be stored for a period of time not to exceed <br />the actice status of the eligibility list for which the examination <br />score was attained. <br />2) shall be destroyed following the ten day <br />request period provided for the review and/or challenge of the <br />examination content or <br />2: All correspondence covering a (24) twenty four month <br />period commencing with the month of January and ending with the <br />(31st) thirty-first day of December. <br />3. Minutes of. all Civil Service meetings covering a <br />span: <br />a. such minutes should be kept in a loose-leaf binder. <br />4. All current and unresolved legal proceedings should <br />be separate from other correspondence. <br />
