She further reviewed that the testing <br />company would like to administer the test on April 8, 1999 for the written exam, and April 10, <br />1999 for the oral assessment. The Mayor confirmed earlier in the day that his conference room <br />would be available to use both dates. The testing company has been informed that the oral <br />assessment can be up to 2 hours as was set at last months meeting. Mr. Cummings asked if the <br />Ohio Fire Chiefs Associations administered their own test. The clerk indicated Mr. Cummings <br />was correct they administer the entire test and then mail the results back. <br />B) It was brought to the clerks attention that Lieutenant Vance did not receive his letter of intent <br />until the day it was due. Lieutenant Vance suggested that in the future all invitations to <br />participate in promotional exams be sent by registered mail or each candidate sign for their <br />letter. <br />Mr. Cummings asked the clerk when the letters were sent out. The clerk indicated they were <br />delivered to the Fire Department on the 4th at which time they were placed in each of the <br />Lieutenants mail boxes. Lieutenant Vance indicated he was off of work until the 8th, which was <br />the day it was due. It was also suggested that the Fire Chiefs secretary be given the envelopes <br />with a sheet for each candidate to sign indicating they received the letter. That way the <br />secretary would locate each candidate personally whether on duty or off to let them know they <br />need to pick their letter up. Mr. Cummings suggested if a candidate is on vacation and away <br />from home a certified letter would be returned if not picked up within so. many days. It would <br />also be hard for the secretary to track down the candidate on vacation. Mr. Thomay suggested <br />that 4 days advance notice was not a lot of time. The clerk suggested the dates in April were the <br />only dates the testing company had open that month, and the protest that was filed during the <br />Chiefs test pushed the dates available to notify the candidates for the Assistant Chiefs test. Mr. <br />Cummings suggested the procedures that had been followed in the past usually work it's just the <br />time frame for this test that has effected the notification. Mr. Cummings suggested the clerk <br />could send future notifications through certified mail or could use a sign off sheet given to the <br />Fire Chiefs secretary. Mr. Jenkins suggested the candidates know these things are coming up if <br />they are on leave or away from home they could leave word with the department of were they <br />can be reached to make sure they get the information promptly. He asked the clerk if her office <br />accepted faxes. The clerk indicated she could accept a faxed response. <br />C) The clerk reviewed that notification was received from the Clemans and Nelsons Ass. Inc. for <br />the Commissioners that day. The notification received informed the Commissioners that a <br />seminar would be held in Columbus Ohio on April 8, 1999. The seminar is on municipal Civil <br />Service up -dates. They will cover the entry level physicals for police and fire departments. <br />The seminar will review the new requirements for the physician's reports and what will be <br />needed to make sure the correct information is sent in to avoid paying a $100.00 a day fee for <br />submitting wrong information. Mr. Cummings asked the clerk to send a copy of the notice to <br />the Police Chief as well as the Fire Chief. <br />X ADJOURNMENT: <br />L. Zolar motioned to adjourn the meeting.
