She spoke with Cassara Dance Studio about having a smaller group to fit on the stage. <br />Kim suggested having smaller groups perform and not having the large ensemble to help limit <br />congestion in the Cabin and to break up the performances. Nicole will check on dress rehearsal <br />dates for the ensembles to practice on the stage. Santa will be on stage to allow for photo <br />opportunities. Kim will secure a backup vehicle for Santa's arrival in case a fire truck is <br />unavailable. Leah said the face painter from 2018 is volunteering again and her work is donation - <br />based. Suzie will reach out to Sarah Jackson from North Olmsted United Methodist to be a <br />balloon bender. Janelle researched reindeer but all very expensive and many are booked. Nicole <br />will reach out to Todd Kirkpatrick to see if he will bring the sled dogs again. Leah thought the <br />food trucks, Crooked Kettle, Pierogi Pantry and Sauced, worked well last year and she would <br />reach out to them again. She would also reach out to market vendors, such as Homemade by <br />Hannah, The Bom and Bohemian Wildflower, about coming to the event. Nicole will update the <br />vendor form and send to Leah. Kim will contact Biggby Coffee to see if they would be interested <br />in donating coffee or hot chocolate for the event. Janelle has a portable heater she can bring to <br />use on the patio if needed. Sue will bring the snowman cutout for the outdoor selfie station and <br />work on improving the indoor station. Laura will look into creating a Snapchat filter for the <br />event. Nicole will reach out to Parks & Rec about supplying games for the event. Janelle <br />suggested moving the bonfire away from the event to prevent smoke from bothering the <br />performers on the gazebo. She will reach out to Waldo's about hay bales to use for seating and <br />Adam from NOFD. Nicole will coordinate pallet delivery from DYFS once the quantity is <br />determined. Wilma suggested Ken Srail to take photos for the event. Another holiday decoration <br />committee meeting will be scheduled soon to discuss decorating options. <br />Wilma is creating a letter to invite the community groups to provide a holiday -themed craft or <br />activity at the event. A confirmation letter will be sent to the groups selected to have tables with <br />details about the event. Staff will work on creating a map of the event including the community <br />groups and activities available. Sue will reach out to Girl Scout Troop 717 and other troops about <br />creating treat bags for Santa to pass out, some of which should be peanut -free. Leah will reach <br />out to the NOHS theater group about being elves to help in the Cabin with Santa. Other groups <br />may be needed to help pass out maps and for general information. A citywide text will be sent <br />out to help promote the event. Larger signs for the community groups will be hung up behind the <br />tables to ensure visibility. Leah confirmed that the NOHS After Prom committee is still <br />interested in providing s'mores kits, Nicole suggested having them set up outside by the fire. <br />Signage and site layout will be discussed at the next meeting once more details are confirmed. <br />Mayor's Art Show <br />A committee meeting is scheduled on September 26`h to discuss needs for the event. How to <br />display artwork will need to be determined in addition to the event date. <br />UNFINISHED BUSINESS <br />
