ARTS COMMISSION CITY OF NORTH OLMSTED MINUTES OF NOVEMBER 20, 2019 ROLL CALL The meeting was called to order at 6:30 p.m. in Council's Caucus Room. Present: Stephanie Procter, Sue Collander, Suzie Patton, Laura Simna, Janelle Zauner-Hoffart, Wilma Kepperley, Jackie Chavez -Anderson, Annie Kilbane, Leah Rogalski-Davis, Keith Behrendt Staff: Planning Director Kim Lieber, Administrative Assistant Nicole Rambo -Ackerman REVIEW AND CORRECTION OF MINUTES Annie moved, seconded by Jackie, to approve the meeting minutes of October 16, 2019, motion passed 10-0. REPORTS OF OFFICERS AND COMMITTEES North Olmsted Noel Members reviewed the planning guide. The Christmas tree will not be on the stage because it is in the way of the performers, new location to be determined. The Santa chair needs to be brought over from the Rec Center and a chair from the lobby will be used for Mrs. Claus. Consider a background for Santa for future events. The Eagles Nest Theater will have five students to help with the Santa line and will wear the elf hats provided by the Commission. They will also do a holiday -themed reading before the Special Edition performance in the gazebo using the PA system. A small donation should be given to the group for their services. Santa will be dropped off by the Cabin and will be announced from the gazebo. Kim will give Santa and Mrs. Claus a ride back to the fire station after the event. Danimal Clown will be on the patio unless it is too cold, then he will be in the puzzle room. A balloon bender and magician were added after reviewing the 2018 event recap notes to ensure there were enough entertainment available. Chocolate Harmony and Homemade by Hannah will be market vendors. The Eagles Boosters and After Prom committee will be selling apparel and s'mores kits as fundraisers. Biggby Coffee will be donating coffee and supplies but the Commission will need to provide hot chocolate. Suzie will pick the coffee up before the event. Sue will bring the snowman cutout for the patio selfie station. A snowflake themed backdrop will be made for the indoor selfie station which will be hung up with Command hooks. New selfie props were purchased, which Jackie will assemble. Parks and Rec will provide Connect 4, Giant Pong and corn hole for the outdoor games. If the weather is bad, the games will not be used. The Boy Scouts will help tend the bonfire. Nicole will assemble a shot list for Ken Srail, including an Arts Commission group photo. The Commission agreed that the photos should be given to the Commission and distributed through them. 60 chairs should be set up in the Cabin for the dance performance but some tables will be added afterwards. Yard signs were made for Commission members to display and school flyers were ready to be distributed. The streetscape banners are up and the citywide text will go out the week of the event. Signs will be made for each community group's table in the activity room. An event schedule will be made up to put up by
