JOB DESCRIPTlUN: <br />POSITION TITLE: <br />RESPONSIBLE TO: <br />RECEPTIONIST/PBX OPERATOR <br />MAYOR'S SECRETARY <br />MlNIMUM QUALIFlCAT10NS: <br />High School graduate or equivalent. <br />Knowledge of office terminology, procedure and equipment. <br />Some experience as a telephone switchboard operator. <br />DUTIES AND RESPONSlB1L1TlES: <br />Monitor, answer and screen aii incoming caiis. Transfer cafls and messages to appropriate <br />individuals, departments or extensions. Answer questians from the public and provide information to <br />caller. May act as a reference or referrai service to individuals calling for routine assistance. Write <br />and forward message to staff or department to whom caNs could not be forwarded. Greet visitors, <br />schedule appointments if required; perform general clerical tasks such as typing, faxing, copy <br />machine, maii machine, letter folding machine and perform mail room duties as assigned. Perform <br />other duties as assigned. <br />Good knowledge of and skill in the operation of a telephone switchboard; some knowledge of <br />affice terminology, procedures and equipment; some knowledge of business arithmetic and English; a <br />clear and pleasing voice and manner of speaking; ability to understand and follow oral and written <br />directions; ability to establish and maintain good working relationships with other employees and the <br />general public with tact and courtesy. <br />KNOWLEDGE, SKILLS AND ABlLITIES: <br />Ability to meet and deal successfully with the public and other employees. Ability to learn <br />governmentai or departmental services, offices and other routine information. Ability to work rapidly <br />and accurateiy with telephone equipment.
