N3r <br />Position Title: Receptionist/PBX Operator <br />Responsible to: Mayor's Secretary <br />Minimum Qualifications: <br />High school graduate or equivalent. <br />Knowledge of office terminology, procedures and <br />equipment. <br />Some experience as a telephone switchboard operator. <br />Duties and Responsibilities: <br />Monitor, answer and screen all incoming calls. Transfer <br />calls and messages to appropriate individuals, departments or <br />extensions. Answer questions from the public and provide <br />information to caller. May act as a reference or referral <br />service to individuals calling for routine assistance. Write and <br />forward messages to staff or departments to whom calls could not <br />be forwarded. Greet visitors, schedule appointments if required; <br />perform general clerical tasks such as typing, faxing, copy <br />machine, mail machine, letter folding machine and perform mail <br />room duties as assigned. Perform other duties as assigned. <br />Good knowledge of and skill in the operation of a telephone <br />switchboard; some knowledge of office terminology, procedures and <br />equipment; some knowledge of business arithmetic and English; a <br />clear and pleasing voice and manner of speaking; ability to <br />understand and follow oral and written directions; ability to <br />establish and maintain good working relationships with other <br />employees and the general public with tact and courtesy. <br />Knowledge, Skills and Abilities: <br />Ability to meet and deal successfully with the public and <br />other employees. Ability to learn governmental or departmental <br />services, offices and other routine information. Ability to work <br />rapidly and accurately with telephone equipment. Ability to <br />understand and transcribe oral and written messages. <br />_72_
