. . . ?.. c? <br />, EXHIBIT A. <br />r <br />POSITION TITLE: SECRETARY <br />RESPONSIBLE TO: DEPARTMENT HEAD <br />Minimum Qualifications: <br />Thorough knowledge of the secretarial, bookkeeping, <br />purchasing and record keeping systems employed by their <br />department. Working knowledge of all secretarial skills, <br />including typing, filing, shorthand, record keeping, etc. This <br />position is_private and confidential. : <br />Duties• <br />l. Private secretary to Department Head. <br />2. Must have the ability to make decisions and act on them <br />without direction, in the event the Department Nead is not <br />available. <br />3. Answer phones, handle calls, appointments, correspondence <br />for Department Head, compose routine correspondence for <br />his signature. <br />4. Take complaints, make-up work orders, direct to responsible department. - <br />5. Maintain files and do general filing. <br />6. Prepares requisitions, charge to proper appropriation. <br />Maintain file of requisitions, attached to purchase orders, <br />post in book. <br />7. Responsible for making out personnel accident reports and send to Service Director's office. B. Gather and type legislation for City ordinances when <br />necessary. <br />9. Arrange for maintenance and repair of office machines. <br />10. Gather and organize information for meetings that depart- <br />ment head attends. <br />11. Take minutes at department heads meetings when needed. _ y <br />12. Initiate and update personnel records for employees.and <br />direct information to proper department.
