CITY OF NORTH OLMSTED RESOLUTION NO. 2018 - 107 By: Mayor Kennedy A RESOLUTION DISPENSING WITH THE RFP PROCESS AND AUTHORIZING THE MAYOR TO ENTER INTO AN AGREEMENT FOR ADDITIONAL SERVICES FROM RECORDS IMAGING SERVICE, INC., FOR THE PURPOSE OF SCANNING AND INDEXING PUBLIC RECORDS OF CITY BOARDS AND COMMISSIONS. WHEREAS, the City solicited proposals for scanning and indexing services for City Council records, culminating in Res. No. 2013-94, which authorized a personal services contract with Records Imaging Service, Inc.; and WHEREAS, Records Imaging Service, Inc. has proposed additional scanning, indexing and hosting services to manage public records maintained by the several City Boards and Commissions; and WHEREAS, it is the desire of this Council to authorize the Mayor to enter into a contract with Records Imaging Service, Inc., to provide additional scanning and indexing services for the public agendas and minutes maintained by the City's Boards and Commissions, as well as to provide an off-site hosting location. NOW, THEREFORE, BE IT RESOLVED BY THE COUNCIL OF THE CITY OF NORTH OLMSTED, COUNTY OF CUYAHOGA, AND STATE OF OHIO: SECTION 1: That the Mayor be and he hereby is authorized to enter into a contract with Records Imaging Service, Inc., to provide additional scanning and imaging services estimated at $1,034.00, document preparation estimated at $28.00 per box, additional hosting services estimated at $180.00 per year, and additional help desk services that may be required. To the extent that in the future any additional Board and Commission records, not otherwise within the scope of this Agreement, are to be scanned, indexed and hosted, then for each additional Board or Commission project, the Board of Control shall so approve the expanded scope. Said contract shall be in such form and substance as is not substantially adverse to the City and which is approved by the Director of Law, and funds for said services are certified by the Director of Finance. The character of the contract as not being substantially adverse to the City shall be evidenced conclusively by the execution of the contract by the Mayor and the approval of the contract by the Director of Law. SECTION 2: That this Resolution shall take effect and be in force from and after the earliest date provided for by law.
