CITY OF NORTH OLMSTED <br />RESOLUTION NO. 2018 - 107 <br />By: Mayor Kennedy <br />A RESOLUTION DISPENSING WITH THE RFP PROCESS AND <br />AUTHORIZING THE MAYOR TO ENTER INTO AN AGREEMENT <br />FOR ADDITIONAL SERVICES FROM RECORDS IMAGING <br />SERVICE, INC., FOR THE PURPOSE OF SCANNING AND <br />INDEXING PUBLIC RECORDS OF CITY BOARDS AND <br />COMMISSIONS. <br />WHEREAS, the City solicited proposals for scanning and indexing services for <br />City Council records, culminating in Res. No. 2013-94, which authorized a personal <br />services contract with Records Imaging Service, Inc.; and <br />WHEREAS, Records Imaging Service, Inc. has proposed additional scanning, <br />indexing and hosting services to manage public records maintained by the several City <br />Boards and Commissions; and <br />WHEREAS, it is the desire of this Council to authorize the Mayor to enter into a <br />contract with Records Imaging Service, Inc., to provide additional scanning and indexing <br />services for the public agendas and minutes maintained by the City's Boards and <br />Commissions, as well as to provide an off-site hosting location. <br />NOW, THEREFORE, BE IT RESOLVED BY THE COUNCIL OF THE CITY <br />OF NORTH OLMSTED, COUNTY OF CUYAHOGA, AND STATE OF OHIO: <br />SECTION 1: That the Mayor be and he hereby is authorized to enter into a <br />contract with Records Imaging Service, Inc., to provide additional scanning and imaging <br />services estimated at $1,034.00, document preparation estimated at $28.00 per box, <br />additional hosting services estimated at $180.00 per year, and additional help desk <br />services that may be required. To the extent that in the future any additional Board and <br />Commission records, not otherwise within the scope of this Agreement, are to be <br />scanned, indexed and hosted, then for each additional Board or Commission project, the <br />Board of Control shall so approve the expanded scope. Said contract shall be in such form <br />and substance as is not substantially adverse to the City and which is approved by the <br />Director of Law, and funds for said services are certified by the Director of Finance. The <br />character of the contract as not being substantially adverse to the City shall be evidenced <br />conclusively by the execution of the contract by the Mayor and the approval of the <br />contract by the Director of Law. <br />SECTION 2: That this Resolution shall take effect and be in force from and after <br />the earliest date provided for by law. <br />
