ORDINANCE N0. 88-8 <br />Page -2- <br />157.03 Functions <br />The functions of the Records Commission shall be to provide <br />rules for the retention and disposition of records and to review <br />all record disposal lists submitted by Village officers and <br />Department heads. The disposal lists shall contain those records <br />which have been microfilmed and no longer have administrative, <br />legal or fiscal values to the Village or its residents. <br />157.04 Meetings. <br />The Records Commission shall meet at least once every six <br />(6) months and, in addition, upon the call of the Mayor or the <br />Mayor's representative to the Commission. <br />157.05 DlSposal of Records. <br />(a) When Village records have been approved for disposal by <br />the Records Commission a copy of such records list shall be sent <br />to the Bureau of Inspection and Supervision of Public Officers of <br />the Auditor of State for approval or disapproval, in whole or in <br />part. If such Bureau disapproves of the action of the <br />Commission, in whole or in part, it shall so inform the <br />Commission within sixty (60) days after receipt of the records <br />list. Before records are otherwise disposed of, the Ohio <br />Historical Society shall be informed and given the opportunity <br />for a period of sixty (60) days to select for its custody or <br />disposal such records as it may deem to be of continuing <br />historical value. <br />(b) Before any records are disposed of Council shall have an <br />opportunity to review the list of items considered for disposal. <br />Section 2. That the Council finds and determines that all <br />formal actions of this Council relating to the adoption of this <br />Ordinance have been taken at open meetings of this Councilo and that <br />deliberations of this Council and of its committees, resulting in such <br />formal action, took place in meetings open to the public, in <br />compliance with all statutory requirements including the requirements <br />of Section 121.22 of the Ohio Revised Code. <br />Section ~ This Ordinance is hereby declared to be an <br />emergency measure necessary for the immediate preservation of the <br />health, safety and welfare of the residents of Mayfield Village for <br />the reason that the Commission established herein is necessary to <br />maintain effective control over municipal records. It shall therefore <br />take effect immediately upon passage by the affirmative vote of not <br />less than five (5) members elected to Council and approval by the <br />
