Minutes of the Regular Meeting of Council <br />Monday, November 21, 2011 <br />Page 10 <br />Motion to authorize an expenditure in an amount not to exceed $19,000 to Lake <br />Business Products for the purchase of two copy machines. <br />Mr. Saponaro, seconded by Mrs. Cinco, made a motion to authorize an expenditure in an amount <br />not to exceed $19,000 to Lake Business Products for the purchase of two copy machines. <br />Council President Buckholtz asked, these are color, is that correct? <br />Mrs. Wolgamuth replied, yes, both are color. <br />Mr. Saponaro stated, Diane provided us a pretty complete memorandum that showed us exactly <br />where these are being used, how old they were, and even the copy counts. Two and a half <br />million copies have been made thus far. In the meantime, we recommend this for approval, but <br />Diane is going to check per Dr. Parker's recommendation with IGM to make sure that we have <br />covered all of the bases. We believe this is the lowest and best opportunity for us. <br />Dr. Parker stated, the only reason I brought up IGM is that they have also provided us with <br />copiers in the past. We felt we should give them the courtesy of checking with them. If this <br />happens to be the best, they are authorized to go ahead. <br />Council President Buckholtz asked, do we need approval tonight? Is this something in the <br />works? If we are checking with someone else? <br />Mr. Saponaro replied, the understanding is that this is the best and lowest. Without approving it <br />tonight, then we are holding off on the process. Diane will check to make sure. If there is an <br />issue, the purchase won't be made and she will come before us again. Otherwise, they will be <br />able to proceed. <br />Council President Buckholtz asked, what happens to the copiers that we currently have? <br />Mrs. Wolgamuth replied, the older copier in the Planning Department will be moved up to <br />Recreation so we are only getting rid of one machine. The trade-in value is $400, so we can <br />either take the $400, unless there's somewhere we want to donate it. But it does have as they said <br />two and a half million copies on it, so I am not sure that it would be valuable for anyone else. <br />Ms. Calta added, the other thing I understood, this was supposed to be a State bid. I don't think <br />it's noted on the agenda, but it is on State bid. <br />Council President Buckholtz stated, we have a motion, we have a second, we are looking for <br />approval, but we will make the call when we make the purchase. <br />Roll Call: AYES: All Motion Carried <br />NAYS: None Expenditure Approved <br /> <br /> <br />
