The group agreed it would <br />enhance the event so long as it would not compete or detract from the bands, which is the main <br />focus. Bill aslced how many and what type of food vendors should be approached; the group <br />thought one food and one dessert type vendor to start with, perhaps adding more if warranted. <br />Coletta will invite Giant Eagle, David will contact Dave Ford of Weber's Custard in Fairview <br />Park. Vendors may be invited to donate a sinall part of their proceeds if they do well. Bill will <br />provide some sound equipment for the event; he will give Dave a list to provide to musicians of <br />what is available. Bill asked David to create a run of show or event schedule. Dave will also <br />follow up with Charlie in the Box to secure the August performance date, and request their best <br />offer in terms of cost. Lauren will design a family of items for publicity including a magnet, a <br />flyer, a poster, an advertisement and a banner. The Commission can also purchase beach balls <br />for use at the event and consider a liinited number of t-shirts. JoAnn will contact Bill Martin of <br />Fox 8 to see if he would be willing to emcee the events. <br />The Commission talked at length about publicity and how to engage community networlcs to <br />promote this and future events. A list was started of city and organization opportunities such as <br />upcoming fish fries at Springvale, OHS pancalce breakfasts, Eggstravaganza, the high school <br />musical, etc. Bill commented that there are both dynamic and static environments (interpreted to <br />mean events versus places where people tend to congregate) and the type of promotion used may <br />vary depending on this. Lauren will set up a Google Docs site where this information can be <br />shared. <br />Note: On February 20, Kim reserved the Community Cabin as an emergency backup for the <br />three Summer in the City Sundays from 4:00 to 6:00pm. In case of torrential downpour, the <br />bands can use the stage in the cabin and sponsors and food vendors can set up inside. <br />City Bicentennial <br />Kim said that the next Arts Commission meeting on March 19 would be a joint planning meeting <br />for the Bicentennial. Representatives from the Landmarlcs Commission, Olmsted Historical <br />Society, North Olmsted City Schools, Community Council and the VFW have been invited. Bill <br />aslced for information on the mission of the Landmarks Commission and its relationship with the <br />Olmsted Historical Society. Kim explained the Landmarks Commission is a city commission <br />with responsibilities for historic preservation, etc. and that OHS is an independent non-profit <br />organization that operates Frostville Museum in the Metroparks. OHS has an extensive <br />collection of local artifacts and archives that could be very useful for the Bicentennial. The first <br />planning meeting will be a brainstorming session about ideas for new events in 2015 and how <br />existing programs and events could be branded or included in the year's schedule, as well. Bill <br />advised that a key goal would be to have organizational clarity so that it is understood who or <br />what organization plays what role in the planning and implementation process. <br />NEW BUSIIVESS <br />Olmsted Festival of the Arts: August 10 at the Frostville Museum <br />Exhibitor applications will be out by March 3. There is an early bird rate of $50 and a regular <br />rate of $75 this year. Commission members can help to promote exhibitor and sponsorship <br />opportunities to their networlcs.
