and capital improvements to accommodate such items as storage options, sound equipment and
exterior holiday decorations. He will include an outline of budget line items before the
November meeting. Per a conversation with the Service Deparhnent, James outlined three
potential storage options: storage in the Service Garage mezzanine at City Hall, use of the Oxcart
Pantry garage only if a new facility can be built for the equipment currently stored there, or a
private storage shed on Oxcart's property for exclusive use by the Commission. After discussing
the pros and cons of each option, it was determined that a private storage shed would be the most
ideal option. James will research options for next meeting.
The group reviewed the basic rules for spending/purchasing City dollars. James expressed that as
a City Commission, every dollar has to be carefully planned and considered to ensure the most
utility from each expenditure. This includes avoiding reimbursements for Commission items,
utilizing the City's tax-exempt status and understanding the types of expenditures that require
quotes and/or additional reviews. A guide was provided to members for easy reference.
2018 Work Plan
The members engaged in a conversation on what programming or events each member would
like to see in 2018. Ideas included a food truck event, music festival or fair, talent show
fundraiser, poetry slam, coffeehouse concert or lecture series, chili cook-off, storytelling event,
fall perennial seed swap, Commission team-building activity, indoor yoga programming, fall
festival /themed event, "sip and stroke" community painting event at Springvale, and live theatre
event.
It was decided that the community painting idea would be pursued for a possible February date.
Annie and Mary will research companies to organize the event. Annie and James will research
the feasibility of City-sponsored events featuring alcohol and report back at the November
meeting. It was agreed by all that in order to make progress on the 2018 Work Plan, every
member will bring two or three of their favorite ideas so the group can begin plugging events
into the calendar at the November meeting.
Members reiterated their desire to focus more on adult programming, broaden the Commission's
scope of programming to incorporate more visual, culinary and fine arts, and take ownership of
specific leadership roles such as public outreach, education and sponsorships.
The 2018 meeting calendar was provided for review. No issues were noted.
0
ADJOURNMEN'I'
With no further business, the meeting adjourned at 8:37 p.m.
Lauren Suter, Chair
James Aspery, Planner
Approved: I l(It S t ) -]
