James will be sending the final versions to <br />print ASAP, which includes rack cards, pole banners and yard signs. He will confirm yard sign <br />regulations before members place them in their yards. Jenny suggested that each member take a <br />section of the City to install signs, if the sign code allows. James will create a Facebook event by <br />the end of the week. <br />Student Volunteers: Jeff Zullo has committed to coordinating student volunteers. James will send <br />Janelle a description of duties to clarify student involvement at the event. <br />Selfie Station: Lauren will be deciding on materials for the selfie station before next meeting so <br />it is ready for the event. James confirmed that $100 has been encumbered for use at Home <br />Depot. Jenny suggested that members seek out discarded picture frames from JoAnn Fabrics, or <br />similar stores, and use those instead. <br />Sled Dogs: James said that Todd Kirkpatrick will be returning with his sled dogs. <br />Lighting & Decorations: Jackie asked that the Commission be available to help decorate the <br />Cabin and Senior Center the evening of Friday, December l st. James confirtned that there is <br />$1,000 budgeted for lighting decor, so all lights and decorations will need to be ordered ASAP to <br />be installed before the event. Jackie asked that large, illuminated ground signs be installed on <br />City property advertising the event in lieu of decorative exterior lighting installations. James will <br />talk with the Sign Room and see what can be made to accomplish this. <br />Review Capacitv Building Progress <br />Members reviewed the 2017 Work Plan and identified the strengths and weaknesses from the <br />past year. It was agreed by all that summer programming needs revamped, as well as more <br />attention to events geared towards adults. To support these endeavors and more, it was agreed by <br />all that members need to take on the responsibilities of obtaining sponsorships, conducting public <br />outreach and forming partnerships in the community. Jackie offered her support with <br />sponsorships based on her level of involvement within the business community. Leah expressed <br />an interest in reinvigorating the Celebrate Facebook page and creating new social media <br />channels to boost public outreach. It was determined that these capacity building areas will <br />continue to be a prime focus in upcoming meetings as the 2018 Work Plan is completed. <br />NEW BUSINESS <br />2017 Budget Recap <br />The group examined 2017 expenses to-date and offered their thoughts on the utility of dollars <br />spent. Lauren stated that with a focus on smaller events in addition to the regularly-scheduled <br />large events, 2017 was an uneven year when considering the event results versus money spent. It <br />was agreed by all that the Summer in the City concerts were a failure and need to be completely <br />revamped. The group agreed that the next Tea & Trumpets event, while a success in its first year, <br />will need to feature more Arts Commission involvement in planning and coordination. However, <br />it was agreed by all that the Yoga events provided an incredible impact given the low cost. The <br />group agreed that the larger events like Earth Fair and Noel deserve to stay, but all other <br />programming could be refreshed or redesigned in 2018. <br />2018 Budget and Purchasing <br />James reaffirmed that the current 2018 budget draft has a strong focus on printing/advertising
