It was determined there was <br />no list included. Ms. Schulz said she agrees that this is an exciting project and she is excited to see it come <br />to the mall but they have criteria to follow procedurally. She is ready to give preliminary approval but they <br />need to see a final packet. Mr. I)umas asked if they could get approval and then have it conditioned upon <br />receipt of the actual materials. Ms. Schulz said the landscaping needs to be revisited. Mr. Zergott needs to <br />review it. Mr. Burrier said he can work directly with Mr. Zergott on that. Mr. Dumas explained they are <br />scheduled to appear before the Planning Commission next week to confirm the Architectural Review <br />Board's directions. Mr. Farrell indicated they want to start construction by the beginning of September. <br />They are hoping to open by October of 2004. Mrs. Nader expressed concern from a legal standpoint <br />regarding giving only a partial approval. There was further discussion about how to proceed. Mr. Yager <br />said the board has met separately before a Planning Commission meeting so that their input would be <br />available. They are being asked to approve something that they can't even identify. Ms. Schulz said that <br />what Mr. Yager is offering is very accommodating on their end and the board needs to get accurate <br />drawings. She said they can have a subsequent meeting so the applicant can meet their time frame but they <br />must submit accurate drawings. Mr. Yager said if the Planning Commission holds its meeting at 7:30 then <br />perhaps this board can meet with the applicant at 6:45 and get answers and an Architectural Review Board <br />inember can relay the information to the Planning Commission. He recommended that Mr. Farrell <br />represent Westfield. They are looking for a consistent, accurate, and full package. He mentioned the city <br />has a materials list and they need that completed. He suggested they provide a photo of an existing <br />Galyan's. He told them they need to work out the brick colors on their renderings. He also told them to get <br />the loading dock issue resolved. He indicated if they come back to the board and say they can't make the <br />gates work, they have a lot of convincing to do. He said they need a short presentation and they can walk it <br />right into the Planning Commission meeting so that before that meeting, they will have a recommendation <br />one way or the other. He added that the Planning Commission could table it and that is the risk they take. <br />He thinks they can make it all work out and probably could have before today, so it's a big gesture on the <br />part of the Architectural Review Board to go out of their normal business activities to accommodate this <br />proposal. Mr. Farrell asked if they want to see the materials to be used along with the materials list. Mr. <br />Yager indicated that is correct. Mr. Farrell indicated he will speak with Jim Agliata to get the list. Mr. <br />Kobe asked if there is someone they can work with before the meeting so when they do come in, they <br />know they have everything covered. Mr. Yager told Mr. Burrier to get a copy of the landscape plan to Mr. <br />Zergott because he is the true expert. He said if Mr. Zergott comes in on Tuesday with a favorable <br />recommendation on the landscaping, they will back off on that and focus on the building. He said if the <br />other representatives have something to show regarding the building, they can send it through to his e-mail <br />but as long as it gets stamped in by the city for the meeting Tuesday, and it's accurate, then they are fine. <br />1VIs. Schulz recommended having the meeting at 6:00 if they are getting the new packets to review on that <br />day. 10'Irs. Kilbane indicated she can call the board inembers if the packets arrive early. Mr. Yager said <br />they need to come in with what they are looking to have approved on Tuesday and nothing more. He <br />reminded them to look at the entrance along Brookpark. <br />M. Yager rraade a motion to table the proposal until the continuance meeting on Tuesday, July 22, <br />2003 at 6:00 p.Yr?. prior to anci with a recommendation to the Planr?ing Coinmission meeting at 7:30. <br />The motion was seconded by J. Nader and unaniynously approved. <br />The clerk announced the proposal is on the agenda for the Planning Commission meeting and no further notices will <br />be sent out. <br />VI.
