<br />CITY OF NO1tTH OLMSTED <br />"TOGETHER WE CAN MAKC A DIFFERENCE!" <br />CULTURAL ACTIVITIES COMMISSION <br />IlN OLD TOWN HALL <br />MARCH 3, 2004 <br />MINUTES <br />I. ROLL CALL: <br />Chairman Garland called the meeting to order at 7:00 pm. <br />PRESENT: Chairman R. Garland, Board members B. App, L. Beach, B. Martindale, D. Frazier, and <br />G. Thompson. <br />ALSO PRESENT: Clerk of Commissions D. Rote and guest Gerald Yustick. <br />ABSENT: Board member C. Birney. <br />II. REVIEW AND CORRECTION OF MINUTES: The minutes from the Cultural Activities meeting <br />held February 4, 2004 have been submitted for approval. <br />Mrs. Martindale indicated that on page to have the minutes reflect April 16th and 17`hwith a start time <br />of 7:OOpm. She further reviewed that the auditions for the play would be Apri120 and 21st. <br />It. Garland motion to approve the minutes as corrected. B. App secondeei the molion, which <br />was unanimously approved. <br />III. NEW BUSINESS: <br />Mr. Garland advised that the commission needed to address setting up committees to get things <br />moving for the play. The commissioners need to bring others on board to join the commission. <br />Mrs.. App will take care of advertising. Should be able to put in Westlife, Plain Dealer, and Sun <br />Harold free. Mrs. Martindale reviewed that Plain Dealer will advertise the Friday prior to the <br />production. The Sun Harold and Westlife will put it in their paper. She will send letters out to all <br />those who are patrons of her theater indicating the mystery dinner, auditions for the play and the play <br />dates. A second letter will be sent out between the mystery dinner and the play itself asking for <br />donations. Mrs. Martindale questioned if the commission wanted to serve refreshments at <br />intermission. She further questioned if a variance could be obtained to be sale wine. Mr. Garland <br />indicated that he would look into that issue. Discussion regarding tickets versus sale of tickets took <br />place. Mr. Garland sug,gested selling advertisement slots in a program. Mrs. App did not think a <br />program book would work and suggested looking into having membership into the Cultural Activities <br />Commission. Discussion regarding types of inemberships and price ranges for them took place. Mr. <br />Yustick indicated that the Berea arts fee is $25.00 a year and they have 170 members. <br />Mrs. Beach announced that the library opening date is April 18, 2004 at 1:30pm. The commissioners <br />should place flyers at the library and handout membership forms. The permanent art has not been <br />purchased however they will be displaying temporary art for the opening. Mr. Garland suggested <br />having the High Schools Art Departments art display at the library opening. Mrs. Beach thought that <br />the High School art show is not until May each year so she is not sure if they would be ready in time <br />for early April. A brief discussion regarding the new library wanting to promote more adult <br />programming and particularly a film series that other libraries provide took place. They will continue <br />the children's programs but looking into ways to bring more programs to the adults. She felt the <br />commission should help the library promote the program if brought to the North Olmsted branch. <br />Mrs. Martindale suggested that there should be a reception committee for the opening night, which <br />needs to be elegant. It should include refreshments and gift packages at no additional charge. <br />Mrs. App will head committee for Advertising/publicity. <br />Mrs. Beach will head the committee for membership/tickets sales. <br />Mr. Garland will contact person for committee for decorations/refreshments/reception. <br />Mr. Garland and Mr. Yustick will head committee to find artwork to display.
