Minutes of a Meeting of the <br />North Olmsted Parks and Recreation Commission <br />August 7, 2006 <br />Page Two <br /> <br /> <br />getting facility management software to make registration and business and financials state-of-the-art <br />and much quicker than the manual process currently in place. <br /> <br />The overall price, with room for additions, was about $30,000 for the entry-level equipment. The Rec <br />was awarded $35,000, but it was kept at about $30,000, and includes hardware for an additional work <br />station and three additional printers, so the Recreation Department is under what it was appropriated. <br />It will take a while to get the staff trained, but overall, it will streamline and improve registrations, <br />invoicing and overall desk operations rather than the old way of manual implementation. North <br />Olmsted is in the process of catching up with surrounding suburbs. Mr. Dailey said he took the tour <br />of the Westlake facility to see how it was working for them and got the approval of the Finance <br />Director, Human Resources Director and the IT personnel. <br /> <br />Ms. Jones asked where the money was coming from and did it have to be paid back. Mr. DiSalvo said <br />yes, it’s called a 508 Account, but as the money is being borrowed for this specific purchase, it’s not <br />under specific cap improvements account lines that the Rec normally has. The Finance Director will <br />help the Recreation Department with this matter. This money was specifically set aside so that the <br />Rec could tap into it for emergency repairs. That’s probably the reason it’s under the separate <br />account. <br /> <br />Mr. DiSalvo was asked if it went along with the borrowing done for the entire system at City Hall; i.e., <br />all the software, etc., bundled together. It was generally remembered that it was about a half million <br />dollars a few years back earmarked for this purpose, so it’s been planned, and the City went through a <br />whole new change about a year or so ago. <br /> <br />Ms. Jones asked if this means every patron gets a new card; Mr. DiSalvo said, yes, it would take a <br />while because it will be a challenge to get every employee their proper City identification, let alone the <br />new Recreation identification. It will be done the right way. Ms. Drenski said that overall, the Red <br />would like to have its employees wear identification badges like the school employees do. Other Rec <br />centers have a system like this. <br /> <br />Mr. DiSalvo noted that the new process will cut down on at least twenty-five percent of the paper <br />generated by the Rec Department. <br /> <br />The Commissioner said that the new system will reduce registration time as well. Typically at the <br />register, it takes about ten to fifteen minutes – now to sign up someone for a class will take about a <br />minute or two. Once the data base is entered for the next time, it will take three clicks, and <br />registration will be done. <br /> <br /> <br />Page 2 <br /> <br />
