Recreation Commission Meeting <br />April 7, 2003 <br /> <br /> <br /> <br />OLD BUSINESS <br /> <br />The Commissioner began by saying that all the bugs are worked out on the phone system. There <br />is now a new message and rollover system rather than a mailbox holding only 50 messages. Now <br />if you call, there is a system telling you general information for each area (rink, aquatics, parks, <br />Pro Shop, etc) by pressing a specific number. This will be changed by season for first options. <br />There is also an option to press zero to speak to an operator. You don't have to hang up and <br />redial to reach the operator. If you know a certain extension, you may press it at any time. If all <br />three lines are busy, you will be placed in a message box and, hopefully, that person will return the <br />call shortly. With two or three people in the ticket booth, they should be able to handle calls <br />comfortably. So far, month to date, all the bugs are worked out. <br /> <br />The combination locks are available at $4.50 [cost] in the Pro Shop. No one knows the master <br />for the combination except the Commissioner. He also has the key, but with the combination, that <br />should not be necessary. Ms. Jones asked what would happen if the Commissioner would not be <br />at the Rec Center, to which he replied the person would wait until he arrives. <br /> <br />The Rec Center is right on target with the brochure update. Mr. DiSalvo asked if the brochure <br />could be issued once a year rather than twice, since there is only a difference of four pages <br />between the two and little changes with dates. It would be a savings of over $8,000 in postage <br />alone. Mr. Limpert noted that it would not be brought to the public's attention twice, after which <br />Mr. Gareau stated there could be a white cover put on the brochure noting it would be the only <br />copy this year. Registration could be planned out a year in advance. The Commissioner said <br />what people do to register for programs is very cumbersome. Also, everyone will be able to <br />register on line. Everything to do with the single brochure will be researched and, given a <br />timetable, would probably come out in January or February. Mr. Kelley said that, even with two <br />brochures, families get on the phone to register anyway. It was agreed by the Commission to <br />have the one brochure and keep many in the lobby for use. Mr. DiSalvo had one question for the <br />Commission: the Rec Center would like the State's bicentennial barn for the brochure's cover but <br />is having trouble getting a quality blow-up from the Web site. It was suggested to contact the <br />State for the information. Mr. DiSalvo then passed around a black and white draft of the <br />brochure showing its format. <br /> <br />Ms. Hayes opened the floor for questions on any of the financials before adjournment. Mr. <br />DiSalvo pointed out that the wages for January on the month and year expense report are $1,858. <br />Half of that is actually an accrual from December; that's why February's look so low. At the end <br />of this year, it will be a wash, because half the numbers on December's report will roll over to <br />January. Mr. Jesse said that the statement will be revised so that it's more concise and legible. <br />Mr. DiSalvo reported that statements were not completed by Barbara Bittner, the Bookkeeper, <br />for this month. Because the computer system was down for payroll, payroll was done by hand <br />and there was no time for financial statements. Mr. Baxter asked that, in the future, a brief <br />explanation of what the figures represent would assist in understanding the reports. <br />Page 8 <br /> <br />
