CITY OF NORTH OLMSTED ARTS COMMISSION MINUTES OF OCTOBER 16, 2019 ROLL CALL The meeting was called to order at 6:30 p.m. in Council's Caucus Room. Present: Stephanie Procter, Sue Collander, Suzie Patton, Laura Simna, Janelle Zauner-Hoffart, Wilma Kepperley, Jackie Chavez -Anderson, Annie Kilbane Absent: Leah Rogalski-Davis, Keith Behrendt Staff: Administrative Assistant Nicole Rambo -Ackerman REVIEW AND CORRECTION OF MINUTES Jackie moved, seconded by Wilma, to approve the meeting minutes of August 21, 2019 and September 18, 2019, motion passed 8-0. REPORTS OF OFFICERS AND COMMITTEES North Olmsted Noel Leah confirmed with Nicole that Special Edition will be at the event and will bring their own PA system. Annie reached out to Santa and Mrs. Claus today to confirm. Discussion regarding the balloon bender- the least expensive person would not be available for the entire time therefore the group decided to forego the balloon bender since there will be plenty of other activities, the group did not want a vendor breaking down early and other providers are more expensive. Crooked Kettle has submitted their vendor application and Pierogi Pantry and Sauced have verbally agreed to do the event and should submit their applications soon. Vendor fees will be donated to the Oxcart Pantry. Commission members would like to distribute the hot chocolate and coffee as long as the drinks have been made already, Nicole will let Biggby Coffee know that we should have enough for 300 cups of hot chocolate and 50 cups of coffee. The commission will provide marshmallows and peppermint sticks for the hot chocolate. If Sue and Stephanie are not needed for the hot chocolate station, they will help with the selfie station. Sue is working on a backdrop for the selfie station and is looking into making or purchasing props. A signage committee was created to help improve signage throughout the event in addition to a map with an event program, Sue and Suzie volunteered to be on the committee. The commission agreed that $75 for Ken Srail's photography is fair. Jackie will take care of the Senior Center decorations and the holiday decorations along Lorain Road would need to be revised since the water tower bus is not available until right before Noel. The gazebo will have garland, bows and lights that the Service Department will install. Sue reached out to the Girl Scout troops but has not heard back from any of them. She will find out what ages they are and help coordinate the best activity for the kids to help with and provide a copy of the community group letter to them. Stephanie will follow up with Beth Roshetko about Ascension Lutheran doing a table. NOCSEF will have a putt -putt game at their table and would like to be in a corner to allow for more room. The North Olmsted Junior Women's Club will provide an ornament activity. The Rec Center will have a prize wheel at their table. Kiwanis will have kids make cards that will be sent to veterans.
