JOB DESCRIPTION: <br />POSITION TITl.E: <br />RESPONSIBLE T0: <br />RECEPTIONIST/PBX 4PERATOR <br />MAYOR'S SECRETARY <br />MINIMUM QUALIFICATIONS: <br />High School gratluate or equivalent. <br />Knowledge of office terminology, procedure and equipment. <br />Some experience as a telephone switchboard aperator. <br />DUTIES AND RESPONSIBILITIES: <br />Monitor, answer and screen afl incoming ca(Is. Transfer calis and messages ta appropriate individuals, <br />departments or extensions. Answer questions from the public and pravide informa6on to caNer. May act as a <br />reference or referral service to individua(s caffing for rou6ne assistance. Write and forward message to staff or <br />department to whom calls could not be forwarded. Greet visitors, schedule appointments if required; perForm <br />general clerical tasks such as typing, faxing, copy machine, mail machine, letter folding machine and perform <br />mail room tluties as assigned. Perform other duties as assignetl. <br />Good knowledge of and skill in the operation of a telephone switchboard; some knowiedge of office <br />terminology, procedures and equipment; some knowledge of business arithmetic and English; a clear and <br />pleasing voice and manner of speaking; ability to understand and folfow oral and written directions; ability to <br />establish and maintain good working relationships with other employees and the general pubiic with tact and <br />courtesy. <br />KNOWLEDGE, SKILLS AND ABILITIES: <br />Ability to meet and deal successfully with the public and other employees: Ability to learn governmental <br />or departmental services ofFces and other routine information. Ability to work rapidly and accurately with <br />telephone equipment. Ability to understand antl transcribe oral and written messages. <br />87
