City of North Olmsted - Part One RFP Background Information 21 <br />On-site demonstrations at the Cit of North OZmsted <br />Proposers will be given a four week advance notification of the on-site <br />demonstrations. The short turn-around time is scheduled to keep the process on <br />a quick time frame. Proposers selected as finalists will be given detailed written <br />instructions in advance, including time frames for each application. Praposers <br />are expected to bring at least two teams to run at Ieast two concurrent dernas of <br />the software for different modules at different workstations. <br />Client and Cor orate Head uarters Visits <br />After the on-site demonstrations, at least two Proposers will be selected for <br />further demonstrations of the software at clients comparable to the City of North <br />Olmsted. Additionally, during the client visits representatives of the City may <br />visit the corporate headquarters of the finalists to meet the management and <br />staff. <br />Pre-Fit Anal sis <br />A pre-fit analysis will be expected by the final two Proposers (at no fee to the <br />City) at which time the Proposer can send staff ta the City to go through the <br />Proposer's screens, reports and system functionality, as well as, to better <br />understand the City's requirements. <br />Refinin the RFP <br />The final two Proposers will be given the blank RFP with the added <br />and deleted items for the final System ir.stallation. The Proposers will then <br />re-submit revised RFP's with revised pricing. Most of the original information <br />about the software and the firm will be incorporated into the contract. <br />Cantractin Process <br />The consultant and the City have developed a contract which will be <br />submitted to the final Proposers as the basis to commence with the <br />negotiation process. Typically there will be at least-seven acyreements: - <br />l. Ge.neral Contract agreement <br />2. Purchase or lease agreements <br />3. Application Software License agreeinerlts 4. Operating Systei7l License agreenzents <br />5. Professional Services agreements <br />6. Hardware Maintenance agreements <br />7.
