Section 6. The City shaN insure that all documents placed in an employee's <br />official personnef file shall be first initialed and dated by the employee concerned, or if <br />he refuses, than by his steward or other Union Officer. The initialing of any materials to <br />be placed into any employee's official personnel record will not indicate an agreement <br />by the employee, the Steward, or other Union Officer as to the contents of the material, <br />but does acknowledge the employee has seen it. <br />ARTICLE 7 - GRIEVANCE PROCEDURE <br />Section 1. It is mutually understood that the prompt presentation, adjustment <br />and answering of grievances is desirable in the interest of sound retations between the <br />employee and the City. The prompt and fair disposition of grievances involves important <br />and equal obligations and responsibilities, both joint and independent, on the part of the <br />representatives of each party to protect and preserve the Grievance Pracedure as an <br />orderly means of resolving grievances. Actions by the City or the Union which tend to <br />impair or weaken the Grievance Procedure are improper. <br />Section 2. A grievance is a dispute or difference between the City and the <br />Union, or between the City and an employee, concerning the interpretation or <br />application and/or compliance with the terms of this Agreement and shall include <br />disputes concerning disciplinary actions. When any such grievances arise, the foflowing <br />procedure shall be observed: <br />All grievances shall be written and filed on an Official Grievance Form. The <br />Official Grievance Form shall be provided to the employee by the Union and shall <br />contain the following information at the time the grievarrce is filed, without exception: <br />• The date the grievance occurred; <br />• The approximate time the grievance occurred: <br />• Provide detailed description of the incident giving rise to the grievance; <br />• Cite specific Articles and Sections of the Agreement involved and their <br />d+rect relationship to the incident; <br />6
