? t <br />B-1 <br />IDENTIFICATION <br />POSITION TITLE: <br />DEPARTMENT: <br />SUPERVISOR: <br />MINIMUM QUALIFICATIONS: <br />SECRETARY I <br />AS ASSIGNED <br />DEPARTMENT HEAD <br />Thorough knowledge of the secretarial, bookkeeping, <br />purchasing and record keeping systems employed by their <br />department. Working knowledge of all secretarial skills, <br />including typing-, filing, shorthand, record keeping, etc. This <br />position is private and confidential. <br />May supervise secretary II staff when directed by department <br />head. <br />DUTIES AND RESPONSIBILITIES: <br />l. Private secretary to Department Head. <br />2. Must have the ability to make decisions and act on them <br />without direction, in the event the department head is not <br />available. <br />3. Answer phone, handle calls, appointments, correspondence for <br />department head, compose routine correspondence for his <br />signature. <br />4. Take complaints, make-up work orders, direct to responsible <br />department. <br />5. Maintain files and do general filing. <br />6. Prepares requisitions, charge to proper appropriation. <br />Maintain file or requisitions, attached to purchase orders, <br />post in book. <br />7. Takes dictation and types correspondence, memos, documents, <br />forms and various reports. Enters data into computer. <br />8. Processes and distributes incoming mail. <br />9. - Prepares various reports and processes miscellaneous forms. <br />10. Maintains appointment calendar of department head. <br />11. <br />Orders and Maintains adequate inventory of supplies. <br />j? - 55 -
