12. Assists other clerical staff and performs other duties as <br />assigned. <br />13. May supervise and coordinate work of Secretary II Personnel. <br />Shall assist in evaluating performance of Secretary II <br />personnel. <br />14. Responsible for making out personnel accident reports and <br />send to Director's office and office of Personnel. <br />15. Gather and type legislation for City ordinances when <br />necessary. <br />16. Arrange for maintenance and repair of office machines. <br />17. Gather and organize information for meetings that4epartment <br />head attends. <br />18. Take minutes at department heads meetings when needed. <br />19. Initiate and update personnel records for employees and <br />direct information to proper department. <br />20. Keeps all records of projects, ordinances, meetings and <br />complaints. <br />21. Fill in on PBX during lunch on a rotating basis. <br />22. Performs general clerical tasks such as filing, faxing, and <br />copying information. <br />23. Performs all other related duties as assigned. <br />24. Other duties as assigned by department head or relate to <br />their department. <br />SPECIAL SKILLS, KNOWLEDGE AND ABILITIES: <br />Skills in typing, shorthand and word processing. Knowledge of <br />general office procedures. Knowledge of assigned departmental <br />policies and procedures. Ability to communicate effectively and <br />exercise professional telephone etiquette... Ability to operate <br />standard office equipment including computers. Ability to work <br />independently with minimum supervision. Ability to handle highly <br />confidential information in a responsible manner and to deal <br />effectively with the public and other City employees. <br />SPECIAL SKILLS• <br />Must excel in English, composition, spelling, grammar, <br />punctuation. <br />Typing - Accurate, Neat, and Minimum 45 wpm. ? <br />Shorthand - Desirable, but not essential. <br />?. <br />- 56 -
