Working knowledge <br />of all secretarial skills, including typing, filing, record <br />keeping, etc. This position is private and confidential. <br />DUTIES: <br />1. Must have the ability to make decisions and act on them <br />without direction, in the event the department head or <br />secretary I is not available. <br />2. Answer phones, handle calls, appointments, correspondence <br />for Department, compose routine correspondence for <br />Department Head's signature. <br />3. Take complaints, make-up work orders,,direct to responsible <br />department. <br />4. Maintain files and do general filing. <br />5. Prepares requisitions, charge to proper appropriation. <br />Maintain file or requisitions, attached to purchase orders, <br />post in book. <br />6. Responsible for making out personnel accident reports and <br />send to Director's office and office of Personnel. <br />7. Arrange for maintenance and repair of office machines. <br />8. Gather and organize information as directed. <br />9. Take minutes at department heads meetings when needed. <br />10. Keeps all records on projects, ordinances, meetings and <br />complaints, <br />11. Fill in on PBX on a rotating basis. <br />s? 12. Types correspondence, memos, documents, forms and variouEr <br />reports. Enters data into computer. <br />13. Processes and distributes incoming mail. <br />P - 58 -
