13, May supervise and coordinafe work of secretary II personnel. Shall assist in evaluafing <br />performance of Secr.etary II personnel, <br />14. Responsible for making out personnei accident reports and send to Director's Office and <br />Office of Personnel. <br />15. Gather and fype legisiation for Gity ordinances when necessary. <br />16. Arrange for maintenance and repair of office machines. <br />17. Gafher and organize informafion for meetings that Department Head atfends. <br />18. Take minufes at Department Head meefings when needed. <br />19. Initiate and update personnel records for employees and direct information to proper <br />tlepartment. <br />20. Keeps all records of projec#s, ordinances, meefings and complaints, <br />21. Fill in on PBX during funch on a rotafing basis, <br />22. Performs general clerical tasks such as filing, faxing, and copying inforrnation, <br />23. Performs all other related dufies as assigned. <br />24. Other dufies as assigned by Department Head or related to their departmenf. <br />SPECIAL SKILLS, KNOWLEDGE AND ABILITIES: <br />Skiils in typing, shorfhand and word processing. Knowledge of generai office procedures. <br />Knowledge of assigned departmental policies and procedures. Ability to communicate effectively <br />antl exercise professional telephone etiquette. Ability to operate standard office equipment <br />including computers. Ability to work independenfly with minimurn supervision. Abi(ity to handie <br />highly confidenfial information in a responsible manner and to deai effecfively wifh the public and <br />other City employees. <br />SPECIAL SKILLS: <br />- Musf excel in Engfish, composifion, spelling, grammar, puncfuation. <br />-Typing - accurate, neat, and minimum 45 wpm. <br />- Shorthand - desirable, buf not essenfial. <br />- Abifify to operate business machines. <br />- Ability to organize without Department Head. <br />52
