JOB DESCR(PTION <br />POSITlON TITLE: <br />SECRETARY II <br />DEPARTMENT: <br />SUPERVISOR: <br />MINIMUM QUALIFICATIONS: <br />AS ASSIGNED <br />DEPARTMENT HEAD / DIRECTOR <br />Thorough knowledge of bookkeeping, purchasing, and record keeping systems <br />employed by their departmenf. Working knowledge of all sscretarial skills, including fyping, <br />fifing, record keeping, etc. This position is private and confidential. <br />DUTIES: <br />1. Must have the ability fo make decisions and act on them without direction, in the event that <br />the department head or secretary 1 is not avaifable. <br />2. Answer phones, handle calis, appointments, correspondence for Department Head, <br />compose routine correspondence for Department Head's signature. <br />3. Take complaints, make-up work orders, direct fo responsible department. <br />4. Maintain files antl do general filing. <br />5. Prepares requisitions, charge fo proper appropriafion. Maintain file for <br />requisifions attached to purchase orders, post in book. <br />6. Types correspondence, memos, tlocuments, forms and various reports. Enters data into <br />computer. <br />7. Processes and distribufes incoming maiL <br />8. Maintains appointment calendar for departmenf head. <br />9. Orders and Maintains adequate invenfory of supplies. <br />10. Responsible for making ouf personnei accident reporfs and send them to the Director's <br />office and office of Personnel. 54 <br />
