Department: <br />Pasition Titfe: <br />Responsible Ta: <br />Minimum Qualifications: <br />Division of Palice <br />Police Department Secretary <br />Administrative Captain - <br />Thorough knowledge of secretarial, bookkeeping, purchasing and record keeping systems employed <br />by fhe Police Departmenf. Working knowledge of ail secretariai skilis including typing filing, record <br />keeping, computer skills, work processing and the like. Must have currenf CR13/LEADS certificafion. <br />This posifion is privafe and confidential. Employees must safisfactorily complefe a polygraph <br />examination and criminal backgrouhd investigafion. May supervise Secretary II staff when directed by <br />Administrative Captain <br />Duties:. <br />1. Private secretary to Administrafive Captain <br />2. Prepare Police Department payroll vouchers. <br />3. Keep records of payroll, vacation, paid holidays, sick leave as well as other records when directed. <br />4. Prepare schedules for secretary II, dispatchers and arrange school guard coverage when needed. <br />5. Answer phones, handle calls, appointments, correspondence for Administrative Captain. Compose roufine <br />correspondence for his signature. <br />6. Must have the abifity to make decisions and act on them without direction, in fhe event the Administrative <br />Captain is not available. <br />7. Mainfain files and do general fifing. <br />3. Take dictation and type correspondence, memos, documenfs, forms, and various records. Enter data into <br />computer. , i. Process and disfribufe incoming maiL <br />10. Maintain appoinfinent calendar for Administrative Captain, <br />11. Assists other clerical staff and performs other em dufies as assigned. <br />12. May supervise and coordinate work of Secrefary II personnel. <br />13. Arrange for maintenance and repair of office machines. <br />14. Gather and organize information for meetings that the Adminisfrafive Capfain atfends. <br />15. Take minutes at Departmenf Head meefings when needed. <br />16, Initiate end update personnel records for employees and direct information #o proper deparfinent, <br />57
