Department: <br />Posifion Title: <br />Supervisor: <br />Minimum Qualifications: <br />Fleet Maintenance <br />Secretary to the Fleet Manager <br />F(eet Manager <br />Private and confidenfial secretary to the Fleet Manager. Responsible for all Secretariai Duties related to <br />the efficient funcfioning of the Fleet Maintenance Departmenf Office. Bookkeeping, work processing, filing, <br />faxing, answering phones, copying, purchasing and maintaining office supplies, record keeping, preparing <br />time cards, mail, maintaining appoinfinent calentlar, creating and preparing documents, arrange for <br />maintenance and repair of office machines. <br />Duties and Responsibilities <br />Maintaining empioyee payroll and personnel files, uniform invenfory, employee fuei cards, copies of employee <br />driver's licenses. <br />Preparing requisitions and processing purchase orders, <br />Assist other staff members and perform other dufies as assigned by the Fleef Manager. <br />Preparing and reviewing documents, correspondence, memos, documents, forms and various reports. <br />Maintaining the cellular phone numbers, pager numbers and fwo-way radio numbers, Aiso responsible for <br />knowing procedures in case of an emergency. <br />Process and disfribute Air Touch Celiular Phone Biils to each Department. <br />Take complaints, complete work orders and direct to Fleet Manager or Mechanic. <br />Moniforing the Administration building's Fire Alarm System, the Emergency Power System and the Heafing and <br />Cooling Sysfem, Afso responsible for knowing procedures in case of an emergency. Maintaining vehicie inventory files, vehicle maintenance files, parts inventory and purchase orders inventory. <br /> <br />Create part labels for continuous parts inventory. <br />Mainfaining fuel usage files, driver information files, vehicle information files, fuel card information files. <br />Maintaining the commerciai and operators driver's license information fi{es. <br />Monitoring and changing the Cify's heating and cooling sysfem when needed. <br />63
