JOB DESCRIPTION: <br />POSlTI4N TITLE: SECRETARY I <br />DEPARTMENT: AS ASSIGNED <br />SUPERVISOR: DEPARTMENT HEAD / DIRECTC)R <br />MINIMUM QUALIFICATtONS: <br />Thorough knowiedge of the secretarial, bookkeeping, purchasing and record keeping systems <br />employed by their department. Working knowledge of all secretarial skills, including typing, filing, <br />shotthand, record keeping, etc. This position is private and confidential. May supervise Secretary II staff when directed by Department Head. <br />DUTIES AND RESP4NSIBILITIES: <br />1. Private secretary to Department Head. <br />2. Must have the ability to make decisions and act on them without direction, in the event the <br />Department Head is not available. <br />3. Answer phone, handle calls, appointments, correspondence for Department Head, <br />compose routine correspondence for his signature. <br />4. Take complaints, make-up work orders, direct to responsible department. <br />5. Maintain files and do general filing. <br />6. Prepares requisitions; charge fo proper appropriation. Maintain file or requisitions, <br />attached to purchase orders, post in book. <br />7. Takes dictation and types correspondence, memos, documents, forms and various <br />reports. Enters data into computer. 8. Processes and distributes incoming mail. <br />9. Prepares various reports and processes miscellaneous forms: <br />10. Maintains appointment calendar of Department Head. <br />11. Orders and maintains adequate inventory of supplies. <br />12. Assists other clerical staff and performs other duties as assigned. <br />-51- <br />???
