B. General Provisions
Village employees' daily work activities may require the use of cell phones.
Examples of those who may require the issuance of a Village cell phone include
the following:
a. Department Heads;
b. Employees who perform field work necessitating a majority of time spent
out of the office during the normal work day;
c. Those working in remote locations;
d. Those responsible for facility maintenance and services;
Those subjected to after hours or emergency call out; and
f. Other functions as deemed appropriate by Department Heads.
2. The Village also encourages employees to be good citizens and use cellular
equipment to report emergency situations to appropriate authorities. The Village
discourages the disclosure of cell phone numbers to members of the public.
3. Employees issued cell phones are responsible for any loss or damage to the
phones and equipment assigned to them. Lost or stolen cell phones must be
reported to the employee's supervisor immediately.
4. When an employee no longer has a demonstrated need for cell phone use or when
the employee terminates employment with the department authorizing the cell
phone's use, that employee shall return all Village cell phone equipment to that
department.
5. Departments having employees who have infrequent need for cell phone
communications may establish a"pool" phone provided to employees as needed.
In such circumstances, the Department must establish stringent controls to
account for possession of the cell phone and authorization guidelines such as
during travel or other special work-related events. Department Heads will be
responsible for assuring accountability under this section.
6. Employees eligible for assignment of a Village cell phone may instead elect to
utilize personal cell phone service for Village business with the approval of the
Mayor. In such cases, the employee agrees to abide by all other provisions of this
policy and understands that the Village will, in no way, be responsible for
purchase, contract, maintenance, damage, loss, theft or other matters relative to
personal cell phone use. It is the general policy of the Village that employees will
not be reimbursed for chaxges billed to their personal cell phones.
-2-
