Minutes of a Meeting of the <br />North Olmsted Parks and Recreation Commission <br />September 11, 2006 <br />Page Four <br /> <br />Recreation Facility Management Software <br /> <br />Recreation Facility Management Softwatre (Rec Trac from Vermont Systems) was installed, and <br />initial training was conducted the week of August 28, 2006. The staff is currently entering department <br />data as well as continuing with system training. The software is tentatively scheduled to go “Live” at <br />the end of October. Ms. Drenski said that for the next three weeks she, Jenni Couts and Chris <br />Wetmore, who had the majority of the training from the company, will train Cindi Bartko, Pat <br />Cunningham in Tennis, and make sure all schedules and information are correct. It will interface with <br />the Finance Department’s system for daily financials. In October the part-time staff will be trained. <br />That will take some time because some of them work in the evenings only, so there must be time <br />found to get them in and comfortable with the system. <br /> <br />Ms. Drenski continued by saying that the public will be kept informed of what will be happening and <br />that there will be new cards given. The Rec Department has been giving out paper cards for over two <br />years now. Ms. Jones asked how much that would cost. Ms. Drenski said it would be a $1 fee per <br />card with a picture. It will be so much quicker and will be done at the desk. There will be another <br />card for passes which can be used over and over. There will be a resident picture I.D. with name and <br />expiration to get the resident rate. Then there will be a pass for pool or rink currently, but there will <br />be an opportunity to use it for tennis or whatever else. Ms. Jones asked if every time you walk in you <br />swipe the card when you go to a class. Ms. Drenski said you would swipe your pass, such as a <br />monthly or yearly pool pass or three-month pool pass, and then the Rec Department’s pass that is <br />bought for ten at a time when you can come at any time, with no date expiration. Mr. DiSalvo said <br />that, on a daily basis, for a daily charge, if you want the resident rate, you must show your resident <br />I.D. This is the way it is now, but the new one will have a picture and pinwheel. Right now it’s just <br />on a stock card. Ms. Drenski said that, as well, at the present time if you buy a pass for October any <br />time in October, it’s only good for October. Now it will be good for one month from the date of <br />purchase. Mr. DiSalvo said that the I.D. is needed for program registration and/or daily admissions. <br /> <br />In addition, there will be a visitor’s pass, e.g., if there will be a contractor working, they will be <br />required to check in at the desk, and if they don’t have one, they will be stopped. This will take a <br />while for the residents and patrons to get used to, but that is the way it’s going to be. <br /> <br />There will be a coach pass and service provider pass. These are people we hire to run a program, such <br />as Irish Step Dancing. <br /> <br />Again, this is all scheduled for the end of October. <br /> <br />Mr. Kelley asked if there would be any possibility in getting the members of the Commission their new <br />cards by the next meeting. Mr. DiSalvo said that everything is currently at City Hall. Ms. Drenski <br />said that the Rec Department should be able to accommodate the Commission by that time. <br />Page 4 <br /> <br />
