13. May supervise and coordinate work of secretary II personnel. Shall assist in evaluating <br />performance of Secretary II personnel. <br />14. Responsible for making out personnel accident reports and send to Director's Office and <br />Office of Personnel. <br />15. Gather and type legislafion for City ordinances when necessary. <br />16. Arrange for maintenance and repair of office machines. <br />17. Gather and organize information for meetings that Department Head attends. <br />18. Take minutes at Department Head meetings when needed. <br />19. Initiate and update personnel records for employees and direct information to proper <br />department. <br />20. Keeps all records of projects, ordinances, meetings antl complaints. <br />21. Fill in on PBX during lunch on a rotating basis. <br />22. Performs general clerical tasks such as filing, faxing, and copying information. <br />23. PerForms all other related duties as assignetl. <br />24. Other duties as assigned by Department Head or re(ated to their department. <br />SPECIAL SKILLS. KNOWLEDGE AND ABILITIES: <br />Skills in typing, shorthand and wortl processing. Knowledge of general office procedures. <br />Knowletlge of assigned tlepartmental policies and procedures. Ability to communicate effectively <br />and exercise professional telephone etiquette. Ability to operate stantlard office equipment <br />including computers. Ability to work independently with minimum supervision. Ability to handle <br />highly confidential information in a responsible manner and to deal effectively with the public and <br />other City employees. <br />SPECIAL SKILLS: <br />- Must excel in English, composition, spelling, grammar, punctuation. <br />-Typing - accurate, neat, and minimum 45 wpm. <br />- Shorthand - desirable, but not essential. <br />- Ability to operate business machines. <br />- Ability to organize without Department Head. <br />60 <br />
