JOB DESCRIPTION <br />Department: <br />Position Titfe: <br />Responsible To <br />Minimum Qualifications: <br />Division of Police <br />Police Department Secretary I <br />Administrative Captain - <br />Thorough knowledge of secretarial, bookkeeping, purchasing and record keeping systems employed <br />by the Police Department. Working knowledge of all secretarial skills including typing filing, record <br />keeping, computer skills, work processing and the like. Must have current CR13/LEADS certification. <br />This position is private and confidential. Employees must satisfactorily complete a polygraph <br />examination and criminal background investigation. May supervise Secretary II staffwhen directed by <br />Administrative Captain <br />Duties: <br />1. Private secretary to Administrative Captain <br />2. Prepare Police Department payroll vouchers. <br />3. Keep records of payroll, vacation, paid holidays, sick leave as well as other records when directed. <br />4. Prepare schedules for secretary II, dispatchers and arrange school guard coverage when needed. <br />5. Answer phones, handle calls, appointments, correspondence for Atlministrative Captain. Compose routine <br />correspondence for his signature. <br />6. Must have the ability to make decisions and act on them without direction, in the event the Administrative <br />Captain is not available. <br />7. Maintain files and do general filing. <br />8. Take dictation and type correspondence, memos, documents, forms, and various records. Enter data into <br />computer, <br />9. Process and distribute incoming mail. <br />10. Maintain appointment calendar for Administrative Captain. <br />11. Assists other clerical staff and performs other em duties as assigned. <br />12. May supervise and caordinate work of Secretary II personnel. <br />13. Arrange for maintenance antl repair of office machines. <br />14. Gather and organize information for meetings that the Administrative Captain attends. <br />15. Take minutes at Department Head meetings when needed. <br />16.
