JOB DESCRIPTION <br />POSITION TITLE: POLICE DEPARTMENT SECRETARY II <br />(Formerly Secretary II within the Division of Police) <br />DEPARTMENT: DIVISION OF POLICE <br />SUPERVISOR: SHIFT COMMANDER OR HIS DESIGNEE <br />MINIMUM QUALIFICATIONS: <br />Thorough knowledge of bookkeeping, purchasing and record keeping systems <br />employed within the Division of Police. Working knowledge of all secretarial skills, including: <br />typing, filing, record keeping, computer skills, word processing and the like. This position is <br />private and confidential. Employees must satisfactorily complete a polygraph examination and <br />criminal background investigation, <br />DUTIES: <br />1. Must have the ability to make decisions and act on them without direction, in the event a <br />supervisor is not immediately available or a Secretary I. <br />2. Answer phones, handle calls, compase routine correspondence as necessary or <br />directed, schedule appointments. <br />3. Maintain all records, including but not limited to, department manual records reports and <br />files in the Record Room and Detective Bureau. <br />4, Operate LEADS/NCIS and CRIS computer. Enter data, make inquiries, update and <br />clear all systems. Handle walk-in traffic at window. Accept money for fines, parking <br />tickets, MVA reports, other reports and the like. Obtain information and make reports as <br />required. Direct citizens to proper officer, department and perform record checks. <br />5. Answer non-emergency lines, transfer calls as necessary. Enter follow-up action of <br />tickets and other citations, issue, enter and file required data and other information as <br />required. <br />66 <br />
