JOB DESCRIPTION <br />Department: Fleet Maintenance <br />Position Title: Secretary to the Fleet Manager <br />Supervisor: Fleet Manager <br />Minimum Qualifications: <br />Private and confidential secretary to the Fleet Manager. Responsible for all Secretarial Duties related to <br />the efficient functioning of the Fleet Maintenance Department Office. Bookkeeping, work processing, filing, <br />faxing, answering phones, copying, purchasing and maintaining office supplies, record keeping, preparing <br />time cards, mail, maintaining appointment calendar, creating and preparing documents, arrange for <br />maintenance and repair of office machines. <br />Duties and Responsibilities <br />Maintaining employee payroll and personnel files, uniform inventory, employee fuel cards, copies of employee <br />tlriver's licenses. <br />Preparing requisitions and processing purchase orders. <br />Assist other staff members antl perform other duties as assigned by the Fleet Manager. <br />Preparing and reviewing documents, correspontlence, memos, documents, forms and various reports. <br />Maintaining the cellular phone numbers, pager numbers and two-way radio numbers. Also responsible for <br />knowing procedures in case of an emergency. <br />Process and distribute Air Touch Cellular Phone Bills to each Department. <br />Take complaints, complete work orders and direct to Fleet Manager or Mechanic. <br />Monitoring the Atlministration building's Fire Alarm System, the Emergency Power System and the Heating and <br />Cooling System. Also responsible for knowing procedures in case of an emergency. <br />Maintaining vehicle inventory files, vehicle maintenance files, parts inventory and purchase orders inventory. <br />Create part labels for continuous parts inventory. <br />72 <br />0
